II. Processing of personal data
Visiting our website
When you visit a page, your browser transmits technical information to our hosting provider, IONOS. This includes your IP address, the time of access, the page or file requested, the previously visited page where applicable, and information about your browser, operating system and device type. This information is processed in server logs.
We also use IONOS WebAnalytics to analyse these visits statistically using the server logs. According to IONOS, the IP address is anonymised immediately after transmission; the analysis is not linked to individuals and does not use cookies.
Contacting us
If you contact us by phone or email, we process your contact details and the information you provide. Depending on your enquiry, this may include health data.
Online appointment booking
The online booking button links to an external samedi booking page. That page is only accessed when you click the link. No booking widget is embedded on our website.
To arrange and manage a practice appointment, we process the contact and appointment details you provide, including treatment-related information where applicable. samedi supports us as a data processor. samedi is itself the controller for its portal and any patient account held there. III. Purposes, legal bases and retention periods
Website operation and access statistics
Technical access data is used to provide and secure our website. The statistics help us analyse usage and improve the website technically. Where personal data is processed for these purposes, the legal basis is Article 6(1)(f) GDPR. Our legitimate interests are the reliable and secure operation of our website and its improvement.
Under the current data processing agreement with IONOS, hosting log files are retained for a maximum of seven days. According to IONOS’s product-specific information, visitor data processed through web hosting is not transferred to third countries.
Enquiries and appointments
We process your information to respond to your enquiry or to arrange and handle your appointment. For enquiries and appointments related to treatment, the legal basis is Article 6(1)(b) GDPR. We handle general enquiries under Article 6(1)(f) GDPR; our legitimate interest is in responding to them. Where health data is necessary for treatment, Article 9(2)(h), in conjunction with Article 9(3) GDPR, also applies, subject to professional confidentiality.
Providing your information is voluntary. Without the information required to handle your request, we may be unable to process your enquiry or appointment booking. You can also book appointments by phone.
We delete messages once they have been fully dealt with, unless statutory retention requirements or other necessary grounds for retention apply. We delete appointment administration data as soon as it is no longer needed to handle the appointment; this normally takes place within a short period after the appointment.
We transfer information that forms part of the required treatment documentation into the patient record. Under section 630f of the German Civil Code (BGB), we generally retain this record for ten years after treatment has ended, unless a different statutory period applies. Statutory retention is based on Article 6(1)(c) GDPR.
IV. Recipients of your data
Within the practice, your data is accessible to those authorised to handle your request. We use the following service providers for technical provision:
- Hosting and WebAnalytics: IONOS SE, Elgendorfer Straße 57, 56410 Montabaur. IONOS processes data on our behalf under a data processing agreement in accordance with Article 28 GDPR.
- Appointment administration: samedi GmbH, Rigaer Straße 44, 10247 Berlin, as a data processor for our practice.
- Phone and email: the telecommunications and email service providers used to transmit and provide communications.
Other disclosures are made only where permitted or required by law, for example to meet legal obligations or protect legal claims, or where you have given your consent.
V. Your rights
Subject to the applicable legal requirements, you may request access to your personal data and its rectification or erasure. You also have rights to restriction of processing and data portability.
Right to object: Where we process your data on the basis of legitimate interests under Article 6(1)(f) GDPR, you may object at any time on grounds relating to your particular situation.
Where processing is based on your consent, you may withdraw it at any time with effect for the future. This does not affect the lawfulness of processing carried out before withdrawal. You can exercise your rights using the contact details above.
